CALL-DATA RETENTION WORKSHEET Original Call Nerd operational planning aid, checked 13 October 2026. This is not a legal retention schedule or a compliance certification. Use fictional, consented test calls; do not put real customer details here. FOR EACH RECORD TYPE - Pending audio on the phone - Audio in processing storage, including failed work - Transcript and any translation - Questions, analysis and call references - Each external provider's copies, inputs and logs - Reports, email attachments, exports and backups Record type / system or provider: Purpose: Who has access: Deletion trigger or review period / why: Who performs and checks removal: Exception or unresolved-failure owner: Evidence of completion / limits / unknowns: Backup expiry and restore handling: PROVIDER QUESTIONS Which endpoint and region does the actual route use? Which account/project retention and data-sharing settings apply? What does API deletion remove? What has a separate lifecycle? Does TTL start deletion or establish its completion? What exceptions and approvals apply? Who verified them and when? STAGED LIFECYCLE TEST Test reference / date / operator: Phone: pending -> upload acknowledged -> removed or cleanup pending Server: active -> transcript/analysis committed -> source removal confirmed Failed processing: retained source / next review / owner Provider transcript: deletion request / result / remaining copies or unknowns Retained call record: access / per-call deletion checked Sent report / exported copy: removal responsibility Restore plan: how deleted or expired records stay excluded CALL NERD BOUNDARIES Audio cleanup follows successful processing and can retry after failure. Failed/incomplete processing keeps source audio until resolved. Transcripts and analysis remain; no general age-based call-record expiry setting is supplied by the currently reviewed product. External provider retention, backups and sent reports need separate handling. OpenAI store:false is not proof of approved Zero Data Retention controls. Deleting source audio removes the ability to replay/retranscribe it without supplying that audio again. Confirm that tradeoff before choosing the workflow.
